Thanks for choosing to be part of our ARRAY CREW community! If you’re based outside the US, this privacy notice tells you how we use information about you and our commitments towards your data.

  1. HOW WE MANAGE YOUR PERSONAL DATA?

We collect personal data for matters that directly concern you; we explain why below. We collect this information through our platform or when you email additional documents to us. Third parties also provide your contact details when they want us to reach out to you for career opportunities.

We’re an equal opportunity platform, with a mission to support professionals in the film, television and broadcast industry from underrepresented populations. To do this, and only when it is strictly necessary, we collect sensitive personal data on you. In these cases, we ask for your consent.

Below you will find information on when, how and why we use your personal data.

A. When you visit our site

When you access our site, we collect, through cookies, technical information and information about your use of our site. 

Technical information includes the Internet Protocol (IP) address, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform.

Information about your visit includes the dates and times you use the site, length of visits to certain pages or page interaction information (such as scrolling, clicks, and mouseovers).

When cookies collect personal data, our collection is done because you agreed to it (your consent) or because we need it for the site to operate (our legitimate interest).

B. When you create your account

When you join our community and create your account, we store your: Name, Email, Country, Password.

We do so because you’re using our service (performance of a contract).

C. When you create your profile

When you create your profile on our site, we store your: 

Basic Info: Name, Email, Date of Birth, Profile Picture, Representation’s Contact Information (Name, Email, Phone, Company). 

Career Details: Primary Working City (and whether you are ready to work elsewhere, including abroad), Work History (Name of Production, Production Year, Type, Industry Category/Department, Job Title, Level of Experience), Languages, Additional Information You Provide, Verification Documents You Submit.

(Social) Media Presence: (Social) Media links such as Twitter or Instagram, IMDB, LinkedIn and/or website URL.

Sensitive personal data: Gender Identity, Race/Cultural Identity, Guild or Union.

We collect such personal data because you’re using our service (performance of a contract). When we collect or share sensitive personal data, we do so because you agreed to it (your consent).

Your personal data are not shared with companies in the film, television and broadcast industry, as long as you are not verified. ARRAY verifies all profiles created on the platform. When we do so, we might ask you to provide information about you via email or via our platform (but only if we are not able to verify your profile on the basis of the information you already shared!).

D. When you edit your profile 

The site gives you the ability to edit your profile, anytime. Through editing, you can provide us with additional personal data. The personal data we store as part of that functionality is:

Basic Info: Name, Phone Number, Email, Address, Date of Birth, Profile Picture, Travel Documents/Information, Representation’s Contact Information (Name, Email, Phone, Company), Military/Veteran status.

Career Details: Primary Working City (and whether you are ready to work elsewhere, including abroad), Work History (Name of Production, Production Year, Type, Industry Category/Department, Job Title, Level of Experience), Languages, Additional Information You Provide, Education (Degree, School, Major, Date, City, Year of Graduation, Industry Knowledge), Resume, Awards, Licenses and Certificates, Media Files. 

(Social) Media Presence: (Social) Media Links, such as Twitter or Instagram, IMDB, LinkedIn and/or website URL.

Sensitive personal data: Gender Identity, Race/Cultural Identity/Origin, Disability, Guild or Union.

We collect such personal data because you’re using our service (performance of a contract). When we collect or share sensitive personal data, we do so because you agreed to it (your consent).

E. When you are on the spot

When your profile gets shared with film companies and partners, they get to view your:

Details: Name, Profile Pictures, Email, Phone Number, Location.

Career Details: Job Title, Biography, Work History, Education History, Languages Spoken, Primary Working City, Resume, Travel Information, Industry Department, Level of Experience, Awards, Media Files, Licenses & Certificates, Representation’s Contact Information.

(Social) Media Presence: (Social) Media Links, such as Twitter or Instagram, IMDB, LinkedIn and/or website URL.

Sensitive Personal data: Guild or Union.

We share such personal data because that’s exactly why you’re using our service (performance of a contract). When we collect or share sensitive personal data, we do so because you agreed to it (your consent).

There are other ways we put crew members on the spot. This can be done through featuring your profile or have you sharing your success stories.

When your profile is featured on our site, we share your: 

Details: Name, Location.

Career details: Resume, Job Title, Biography, Work History, Media Files.

(Social) Media Presence: (Social) Media Links, such as Twitter or Instagram, IMDB, LinkedIn and/or website URL. 

Sensitive personal data: Guild or Union.

The legal basis for this is your consent (because you agreed to it).

When we share your success stories, we share your image, voice and any personal data you disclose during the interview.

F. Other purposes

Your personal data might also be used for other things that are important to us (this is called legitimate interest), including to:

Communicate with you about your account and your participation in our community or about new features available on our platform. 

Ensure the security of our website and platform, and meet with our IT and document management policies. 

Comply with legal requirements we are subject to.

Support other business purposes, for instance administration, management, planning, or to prevent fraud.

We do so because we think we can (legitimate interest).

You provide ARRAY CREW with your personal data for a reason and we will respect that.

We may use it for another reason which is compatible with the original purpose.

  1. THIRD PARTY ACCESS

We share your personal data with third parties for matters that directly concern you:

All website visitors can access certain featured profiles without an account. We do this to increase your visibility to potential employers.

We disclose your personal data to companies in the film, television and broadcast industry (your potential future employers!).

We may also share your personal data with:

The ARRAY Alliance, Inc. ecosystem. 

Third party service providers and vendors to help with things like authentication, data analysis, website maintenance and security, and marketing.

Our partners, to build a stronger community and develop common projects.

Relevant authorities to comply with applicable law, governmental requests, a judicial proceeding, court order, or legal process.

If we are part of a merger or similar transaction, we may share or transfer your personal information in connection with negotiations regarding any merger, acquisition, or similar transaction involving some or all of ARRAY CREW.

  1. WHERE IS YOUR DATA STORED?

We’re based in the United States, so your personal data is stored there. In addition, our service providers, the film, television and broadcast companies and other partners are also based in the United States or in other countries.

When we share your personal data, we make sure it is properly protected. For instance, we comply with the requirements on data transfers, by relying on standard contractual clauses, a set of clauses that ensure that the protection travels with your data.  If you want to know more, email us.

  1. KEEPING YOUR DATA SAFE 

We have put in place measures to keep your data safe, and prevent your personal information from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed. Details of those measures are available on request. In addition, your personal data can only be seen by employees and third parties with a business need to know. They will only process your personal data on our instructions and where they have agreed to treat the information confidentially and to keep it secure.

We have procedures to deal with security incidents and will notify you and relevant regulator(s), as required.

You are responsible for the username and password you use to access our platform, so make sure you keep them secret!

  1. HOW LONG WILL WE KEEP YOUR PERSONAL DATA?

We keep your personal data in line with our Retention/Destruction Procedures and Policy. As a general principle, we keep your personal data only as long as it is necessary. Email us if you would like to know more about this.

  1. YOUR PERSONAL DATA RIGHTS

EU privacy laws give you rights as a community member, and we extend those rights to all users outside the US. If your country of residence or location give you more rights, we will respect those. At a minimum you have the right to: 

Access your information: You can request a copy of the information we have about you and check that we are processing it lawfully. 

Correct your information: You can have any incomplete or inaccurate information we have about you corrected (and most of that can be done by yourself, through edition of your profile).

Delete your information: You can ask us to delete or remove your information if there is no good reason for us continuing to hold it.

Restrict access to your information: You can ask us to suspend processing your information, if you have concerns about how we process it.

Transfer your information: You can request the transfer of your information to another party.

Withdraw your consent: When we rely on your consent, you can withdraw it at any time.

Object to our use of your information In some cases (for example when we rely on legitimate interest) you have the right to object to our use of your information.

If you are dissatisfied with the way we process your data, we hope you will tell us. You have the right to make a complaint If you’re not happy about our use of data, you can lodge a complaint with your supervisory authority.
